Terms of Service

These Terms of Service (�Terms�) govern your access to and use of Admissions.UG. By using the platform, you enter into a binding agreement with us. Please also review our Privacy Policy, which explains how we handle personal data under Uganda�s Data Protection and Privacy Act, 2019 (DPPA).

1. Acceptance of Terms

By accessing and using the Admissions.UG platform as a parent or applicant, you agree to be bound by these Terms of Service. If you do not agree to these terms, please do not use our services.

If you are accepting these Terms on behalf of a minor, you represent that you are their parent or legal guardian and consent to their use of the service.

2. Service Description

Admissions.UG provides an online platform for parents and guardians to:

  • Search and browse participating schools
  • Submit applications for student admission
  • Track application status
  • Make application fee payments
  • Receive admission decisions

We are a facilitator and do not control or guarantee any school�s admissions processes, timelines, or outcomes. Please ensure that you only apply to schools that officially direct you to this platform.

3. User Account

To use our services, you must:

  • Create an account with accurate and complete information
  • Be at least 18 years of age or have parental consent
  • Maintain the security of your account credentials
  • Notify us immediately of any unauthorized access

You are responsible for all activity that occurs under your account.

4. Application Process

When submitting applications, please ensure or note that:

  • All information provided must be truthful and accurate
  • Supporting documents must be authentic and unaltered
  • Application fees paid through this platform are non-refundable once submitted
  • Each school sets its own admission criteria and decisions

You acknowledge that schools may request additional documentation or verifications and that failure to provide them may affect the application outcome.

5. Payment Terms

Application fees:

  • Are set by individual schools
  • May be paid through our secure payment gateway if the school so chooses
  • Are non-refundable after submission

A platform processing fee shall be levied for each application submitted through this platform (independent of the application fees).

IMPORTANT: Payment processing is performed by fully licensed third-party payment service providers.

6. Privacy and Data Protection

We are committed to protecting your personal information. Please review our Privacy Policy for details on how we collect, use, and protect your data.

By using the platform, you acknowledge that your data will be processed in accordance with the DPPA and that schools you apply to may act as independent data controllers for applicant information they receive.

7. Prohibited Activities

You agree not to:

  • Provide false or misleading information
  • Submit fraudulent documents
  • Attempt to manipulate the application process
  • Share account credentials with others
  • Use the platform for any illegal purposes

You also agree not to interfere with platform security, reverse engineer, or misuse any features beyond their intended purpose.

8. Limitation of Liability

Admissions.UG is a facilitator platform. We are not responsible for:

  • Admission decisions made by schools
  • School policies or procedures
  • Quality of education provided by schools
  • Any disputes between parents and schools

To the maximum extent permitted by law, Admissions.UG shall not be liable for indirect, incidental, special, consequential or punitive damages, or any loss of data, revenue, or profits, arising out of or related to your use of the platform.

9. Changes to Terms

We reserve the right to modify these terms at any time. Continued use of the platform after changes constitutes acceptance of the new terms.

For material changes, we will provide at least 30 days� notice via email or in-app notification before they take effect, unless a shorter period is required for legal or security reasons.

11. Governing Law & Jurisdiction

These Terms are governed by the laws of the Republic of Uganda. You agree to the exclusive jurisdiction of the courts of Uganda, with venue in Kampala, for any dispute arising out of or relating to these Terms or the platform.

12. Miscellaneous

If any provision is found invalid or unenforceable, the remaining provisions remain in full force (severability). These Terms, together with the Privacy Policy, constitute the entire agreement between you and us regarding the platform.

These Terms apply to schools and their authorised administrators. By using the platform, the school agrees to comply with these Terms and the DPPA.

1. Acceptance of Terms

By registering and using the Admissions.UG platform as a school administrator, you agree to be bound by these Terms of Service. These terms constitute a binding agreement between your school and Admissions.UG.

You represent that you are authorised to bind the school to these Terms.

2. Service Description

Admissions.UG provides schools with:

  • Online application management system
  • Application fee collection services
  • Applicant communication tools
  • Admission decision workflow
  • Reporting and analytics dashboard

The platform is provided �as is� and �as available�. We may update features from time to time.

3. School Registration

To use our platform, schools must:

  • Be legally registered educational institutions in Uganda
  • Provide valid registration information
  • Designate authorized administrators
  • Maintain accurate school information

You must promptly update any changes to school details and administrator assignments.

4. Platform Usage

Schools agree to:

  • Process applications fairly and transparently
  • Respond to applications within reasonable timeframes
  • Maintain accurate admission criteria and requirements
  • Communicate decisions promptly to applicants

Schools must ensure that their use of the platform and any decisions made are compliant with applicable education and data protection laws.

5. Fee Structure

Financial terms:

  • Schools set their own application fees and decide the collection mode: Direct Collection (via this platform) or Indirect (outside the platform)
  • The platform charges a processing fee per application. This fee is either added to OR deducted from the application fee for Direct Collection schools or paid by the school via Mobile Money or Bank Deposit/Transfer for Indirect Collection schools
  • For Direct Collection schools, funds are settled to their bank account on a weekly basis. This schedule may be adjusted on request but higher frequencies attract transfer charges
  • Schools are wholly responsible for their tax obligations

We may adjust platform fees with prior notice; continued use constitutes acceptance of the revised fees.

6. Data Management

Schools must:

  • Handle applicant data in accordance with privacy laws
  • Use data only for admission purposes
  • Maintain confidentiality of applicant information
  • Not share data with unauthorized third parties

Schools act as data controllers for applicant data they obtain via the platform. Schools must provide appropriate privacy notices, obtain and record parental/guardian consent where required, respond to data subject requests within 30 days, and ensure any processors they appoint provide adequate safeguards, including for any cross-border transfers.

Admissions.UG acts as a data processor when processing applicant data on a school�s documented instructions; we will implement appropriate technical and organisational measures and enter into written data processing terms upon request.

7. School Responsibilities

Schools are responsible for:

  • Accuracy of published information
  • Timely processing of applications
  • Fair and non-discriminatory admission practices
  • Compliance with education regulations
  • Resolution of disputes with applicants

School administrators must keep their credentials secure, restrict access to authorised staff, and promptly disable access when staff leave or roles change.

8. Platform Rights

Admissions.UG reserves the right to:

  • Suspend or terminate accounts for violations
  • Modify platform features and functionality
  • Adjust fee structures with notice
  • Audit school practices and compliance

We may suspend access to protect platform security or in response to suspected unlawful activity.

9. Intellectual Property

Schools grant Admissions.UG the right to:

  • Display school information on the platform
  • Use school logos for platform purposes
  • Include schools in marketing materials
  • Aggregate data for analytics and reporting

Each party retains ownership of its trademarks and content. You grant us a non-exclusive, royalty-free licence to host and display your content for the purpose of operating the platform.

10. Indemnification

Schools agree to indemnify and hold harmless Admissions.UG from any claims arising from:

  • School admission decisions
  • Disputes with applicants
  • Inaccurate information provided
  • Violation of these terms

This includes claims related to misuse of applicant data or failure to comply with the DPPA.

11. Termination

Either party may terminate this agreement with 30 days written notice. Upon termination, schools must:

  • Complete processing of pending applications
  • Settle any outstanding fees
  • Export necessary data within 60 days

Following termination, we will handle residual data per the retention schedule and legal obligations. Upon request, we will provide reasonable assistance with data export.

Schools may also escalate unresolved data protection concerns to the Personal Data Protection Office (PDPO) of Uganda.
